AGENT ARRANGE – “we liked it so much we thought we should share it” We began when the Internet was scarcely out of nappies – and given that there was still a lot of mess to clear up as a result we opted for a system of listening to reels over the telephone. We called it the “Mega-phone”. Using touch tone technology you could listen to or skip through all our male and female voices at any time of the day or night. It was the first time that any agency had enabled clients to cast voices without waiting for clueless couriers to bike round the cassette tape. Since then we were the first agency to set up an internet site with a casting engine, the first to allow you to listen to reels streaming from our server without downloading them to your PC first and the first to create soundbite reels allowing you to hear a voice’s full repertoire in 25 seconds. Now we’ve turned our attention to our office processes – knowing that our work is as much concerned with invoicing and efficient financial processing as it is with marketing our great list of talent. We have used computerised diaries, contact databases and invoicing systems from the day we started, but the data often required inputting more than once. We spent several years trying to source accounting software that would work efficiently with our bookings systems, but we never found the answer. Finally we made the bold step of commissioning our own. With the help of Charlie Barnard – a very talented software writer – we built a system from scratch and beta tested it to ensure it was unbreakable. Now we can process a job from start to finish by inputting the booking information at the time it is made. With a single set of data inputs, the rest of the paperwork is generated and we can coordinate artist’s diaries, all our contacts and invoicing systems. We can also publish reports that show us our best clients or our worst debtors, we can even send SMS confirmations of booking straight to the artist’s mobile phone. We liked it so much – we thought we should share it with other businesses who also can’t find the software they need.
